Position Summary

We are seeking a detail-oriented and versatile Bookkeeper to manage day-to-day financial operations and support broader administrative and accounting functions. This role is ideal for someone who enjoys wearing multiple hats and can thrive in a fast-paced environment with multi-state operations.

The Bookkeeper will be responsible for financial recordkeeping, payroll administration, tax coordination, and supporting compliance across multiple states, while ensuring accurate and timely reporting.

Key Responsibilities

Accounting & Financial Management

  • Prepare and maintain accurate financial statements
  • Handle full-cycle bookkeeping, including Accounts Receivable and invoice entry
  • Reconcile bank accounts on a daily and monthly basis to ensure accuracy
  • Track and record client payments across projects
  • Manage vendor payments and subcontractor disbursements

Payroll & HR Administration

  • Process payroll and manage employee records using ADP
  • Onboard new employees, including payroll and tax setup
  • Maintain payroll compliance across multiple states

Tax & Compliance Support

  • Coordinate with external CPA to ensure timely and accurate tax filings
  • Support multi-state tax filings (company operates in 25+ states)
  • Monitor state-specific filing requirements and deadlines
  • Assist with business licensing and renewals as required
  • Manage insurance renewals and related administrative tasks

Systems & Process Management

  • Utilize Sage 50 for accounting, payroll, and tax functions
  • Work within systems such as ADP, bank bill-pay platforms (e.g., Fulton Bank), and internal worksheets
  • Maintain organized and accurate financial documentation

Administrative Support

  • Assist with general administrative duties related to accounting and finance
  • Support operational needs as a "jack-of-all-trades" contributor
  • Identify opportunities for process improvement and increased efficiency

Qualifications

  • 3+ years of bookkeeping or accounting experience
  • Hands-on experience with Sage 50 (required)
  • Proficiency in payroll systems, ideally ADP
  • Strong understanding of financial statements, reconciliations, and accounting principles
  • Experience supporting multi-state tax or compliance requirements is a plus
  • Highly organized with strong attention to detail
  • Strong memory and ability to quickly learn systems and processes
  • Ability to manage multiple priorities in a fast-paced environment

Preferred Skills

  • Experience working with subcontractors and project-based accounting
  • Familiarity with depreciation and tax-related accounting in Sage 50
  • Ability to grow into more advanced accounting responsibilities
